Better Reports, Better Collections: Keeping Delinquencies on Track

Timely collection of assessments is essential to an Association’s financial health. Assessments fund the Association’s day-to-day operations, maintenance obligations, reserves, and other expenses that benefit the entire community. When owners fall behind, addressing those delinquencies promptly can help prevent balances from becoming more difficult to collect.

One of the simplest ways a Board or management company can support the collection process is by regularly providing delinquency reports to the Association’s legal counsel. These reports allow counsel to identify owners who have fallen behind, determine which accounts require action, and keep existing collection matters moving forward.

Delays in sharing delinquency information can create unnecessary challenges. An owner’s balance may continue to grow, opportunities for early intervention may be missed, and the Association may ultimately incur additional time and expense pursuing an account that could have been addressed sooner. Regular reporting also helps ensure that collection procedures are applied consistently throughout the community.

Boards and managers should establish a routine for reviewing delinquent accounts and forwarding updated reports to legal counsel. Whether reports are provided monthly or on another regular schedule, consistency is key. Reports should be accurate and include current balances, recent payments or credits, and any other information that may affect collection efforts.

A strong collection process depends on communication between the Board, management, and legal counsel. By making delinquency reporting a regular part of the Association’s financial procedures, Boards and managers can help counsel act promptly, protect the Association’s ability to collect amounts owed, and support the financial stability of the community.
